How the Hamburg Police IT Cooperation Manages Complex Projects with Blue Ant

With over 50 active tools and around 90 parallel projects each year, the coopeartion faces a major challenge: managing a complex project landscape involving more than 130 employees.

In 2018 the decision was made to introduce a unified project management software. “We had been working with Excel and Microsoft Project for a long time, but soon realized we lacked transparency and consistent management processes. That’s when we knew: we needed a tool that could deliver real multi-project management,“ explains Tobias Kalbe, representative oft he IT Cooperation

In 2019, the multi-project management software Blue Ant was implemented — hosted entirely on-premise to meet the police force’s strict security requirements. Following an intensive customization phase and comprehensive training, Blue Ant was successfully rolled out across all operational areas within just a few months

One of Blue Ant’s most significant benfits is its transparency in budget and financial management. “With Blue Ant we can always see how projects are progressing, which resources are allocated, and how budgets are developing. This level of transparency is indispensable – both for us and our partner states,“ emphasises Kalbe.

Today, Blue Ant serves as the central management platform for the entire IT cooperation. Status reports, forecasts and project summaries are generated automatically. Resources and external service provides can be planned and billed precisely. Even complex administrative requirements, such as the mapping oft he public budget years (“annual slices“) have been seamlessly integrated into the system.

"Blue Ant allows its users to display the project’s progress, what resources are tied to it, and how the budgets develop at any given time. This transparency is essential, both for us and partner states."
